Terms of Service

1. Acceptance of Terms

By accessing or using meetinginvite.app (the “Service”), you agree to be bound by these Terms of Service (“Terms”). If you do not agree, do not use the Service. These Terms form a binding legal agreement between you and meetinginvite.app (“we”, “us”).

If you are using the Service on behalf of an organisation, you represent that you have authority to bind that organisation to these Terms.

2. Description of Service

meetinginvite.app is a software-as-a-service (SaaS) platform that allows registered users (“Hosts”) to:

  • Create event registration landing pages
  • Collect registrant information (name, email, company, job title)
  • Send automated confirmation emails and .ics calendar invites to registrants
  • Manage and export their registrant lists

We reserve the right to modify, suspend, or discontinue any part of the Service at any time with reasonable notice.

3. Account Registration

To use the Service as a Host, you must create an account using a valid email address. You are responsible for:

  • Maintaining the confidentiality of your login credentials
  • All activity that occurs under your account
  • Providing accurate and up-to-date account information
  • Notifying us immediately of any unauthorised use of your account

You must be at least 18 years old to create an account.

4. Free Plan Limitations

The free plan includes the following limits:

  • 2 active registration pages at any one time
  • 50 registrants per page

These limits are enforced automatically. We reserve the right to adjust free plan limits with 30 days’ notice. A paid Pro plan with increased limits is in development.

5. Acceptable Use

You agree not to use the Service to:

  • Create registration pages for illegal, fraudulent, or deceptive events
  • Collect personal data without a lawful basis or without proper notice to registrants
  • Send unsolicited bulk email (spam) to registrants beyond the event they signed up for
  • Violate any applicable law, including data protection laws (GDPR, UK GDPR, CCPA)
  • Infringe intellectual property rights of any third party
  • Attempt to reverse-engineer, scrape, or disrupt the Service
  • Host events promoting violence, hatred, discrimination, or illegal activities

We reserve the right to suspend or terminate accounts that violate this policy without notice.

6. Data Protection and GDPR

When you use meetinginvite.app to collect registrant data, you are acting as a data controller under the UK GDPR / EU GDPR. We act as your data processor. This means:

  • You are responsible for having a lawful basis to collect and process your registrants’ personal data
  • You are responsible for providing registrants with appropriate privacy information
  • You must respond to data subject requests (access, deletion, portability) relating to your registrants within the legally required timeframe
  • You must not use registrant data for purposes beyond those disclosed at the point of collection

We process registrant data only on your instructions and in accordance with our Privacy Policy. By using the Service, you agree to our processing of personal data as described therein.

7. Email Communications

The Service sends transactional emails on your behalf to your registrants (confirmation emails, calendar invites). By using this feature, you confirm that:

  • Registrants have consented to receive event-related communications from you
  • You will not use the Service to send promotional emails beyond those related to the event the registrant signed up for
  • You will include an unsubscribe mechanism in any ongoing marketing communications sent outside this platform

8. Intellectual Property

The meetinginvite.app platform, including its design, code, branding, and content, is owned by us and protected by copyright and other intellectual property laws. These Terms do not grant you any rights to our intellectual property.

You retain ownership of any content you upload or create through the Service (registration page text, logos, branding). By uploading content, you grant us a limited, non-exclusive licence to host and display that content solely for the purpose of providing the Service.

9. Disclaimer of Warranties

THE SERVICE IS PROVIDED “AS IS” AND “AS AVAILABLE” WITHOUT WARRANTIES OF ANY KIND, EXPRESS OR IMPLIED, INCLUDING BUT NOT LIMITED TO WARRANTIES OF MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, OR NON-INFRINGEMENT.

We do not warrant that the Service will be uninterrupted, error-free, or that emails will always be delivered successfully. Deliverability depends on third-party email services outside our direct control.

10. Limitation of Liability

TO THE MAXIMUM EXTENT PERMITTED BY LAW, WE SHALL NOT BE LIABLE FOR ANY INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, OR PUNITIVE DAMAGES, INCLUDING LOSS OF PROFITS, DATA, OR GOODWILL, ARISING FROM YOUR USE OF OR INABILITY TO USE THE SERVICE.

OUR TOTAL LIABILITY TO YOU FOR ANY CLAIM ARISING FROM THESE TERMS OR THE SERVICE SHALL NOT EXCEED THE GREATER OF £100 GBP OR THE AMOUNTS PAID BY YOU TO US IN THE 12 MONTHS PRECEDING THE CLAIM.

Nothing in these Terms excludes or limits our liability for death or personal injury caused by our negligence, fraud, or any other liability that cannot be lawfully excluded.

11. Indemnification

You agree to indemnify and hold us harmless from any claims, losses, damages, and expenses (including reasonable legal fees) arising from: (a) your use of the Service; (b) your violation of these Terms; (c) your violation of any third party’s rights, including data protection rights of your registrants.

12. Termination

You may delete your account at any time from Settings → Account. Upon deletion, your data will be removed within 30 days.

We may terminate or suspend your account immediately if you breach these Terms, engage in fraudulent activity, or if required by law. We will provide reasonable notice where possible.

13. Governing Law and Disputes

These Terms are governed by the laws of England and Wales. Any disputes arising from these Terms shall be subject to the exclusive jurisdiction of the courts of England and Wales, unless applicable consumer protection laws in your jurisdiction require otherwise.

14. Changes to These Terms

We may update these Terms from time to time. We will notify Host account holders of material changes by email at least 14 days before they take effect. Continued use of the Service after changes take effect constitutes acceptance of the revised Terms.
